Rules and regulations

§1 General

  1. The Conference shall be organised under the name “Horyzonty Nauki” (hereinafter referred to as “the Conference”).
  2. These Regulations (hereinafter referred to as “Regulations”), define the rules, scope and the conditions of participation, the duration of the Conference, as well as the manner of informing about the Conference and its conditions.
  3. The organisers of the Conference are: the Scientific Club of Medical and Environmental Chemistry of the Jagiellonian University, the Scientific Club of Chemists of the Jagiellonian University and the Faculty Council of Students' Self-Government of the Faculty of Chemistry of the Jagiellonian University (hereinafter referred to as: "Organisers" or "Organiser").
  4. The Conference will be held on June 12-13, 2023 (hereinafter referred to as “Conference Duration”).
  5. The Conference will be held on the territory of The Republic of Poland, in Department of Chemistry Jagiellonian University on Gronostajowej 2 in Cracow.
  6. The Participant may not transfer the rights and obligations related to participation in the Conference to third parties.
  7. All information related to the Conference shall be published by the Organisers at the Conference event on the Facebook social media platform at: https://fb.me/e/LOUPgDiT

§2 Rules of participation

  1. Participation is open to any person studying at the first, second and third degree of studies, regardless of the country of study.
  2. The Conference shall be conducted in Polish and English, with Polish being the main language.
  3. The condition for participation is registration through the registration form provided by the Organisers at the Conference event referred to in §1 sec. 7. Registration is possible from May 24, 12:00 (CEST, UTC+2:00) to June 02 2023, until 23:59.
  4. The registration form contains the following information about the Participant: a) Participant’s first and last name; b) Participant’s e-mail address; c) Year and course of study; d) Participant’s address (active participants); e) the consent to the processing of personal data by the Organiser.
  5. Following the receival of the application, the Organisers make the application admissible and inform the Participant via email about the acceptance or rejection of the application within 48 hours.
  6. The Participant is obliged to submit an abstract of the presentation until June 04 in accordance with the template attached to the e-mail referred to in §2 sec. 4
  7. The Organiser has the right to verify whether the conditions for participation in the Conference are met. The Organiser is entitled to exclude a Participant from participation in the Conference or refuse to grant him a prize if it transpires that the Participant is in breach of these Regulations or does not meet the conditions for participation in the Conference set out in these Regulations.
  8. On the terms specified in sec. 6 above, Participants whose competition entries are in any way intended to ridicule the Organiser, cause or may cause negative effects for the Organiser will also be excluded.
  9. Participation in the Conference is free of charge.
  10. The Participant has the right to resign from participation in the Conference. For this purpose, they shall inform the Organisers via e-mail no later than two days before the beginning of the Conference.
  11. The Participant is fully responsible for all information and materials presented by him during the Conference and is obliged to follow the Organisers' instructions.

 

§3 Course of the Conference

 

  1. The Conference shall contain the presentations of the Participants who properly submitted their abstracts and the scientists related to the subject of the Conference.
  2. The Conference shall be conducted in Department of Chemistry Jagiellonian University on Gronostajowej 2 in Cracow.
  3. The detailed Schedule of the Conference shall be published by the Organisers at the Conference event referred to in §1 sec. 7. The Organisers reserve the right to alter the Schedule of the Conference, including on the day of the Conference.
  4. Participants are not allowed to record the sound and image of the Conference and to conduct promotional campaigns during the Conference of those companies and institutions for which the Organisers have not agreed.
  5. The Conference Participant should be present at all times during the Conference, also in the event of a change in the Schedule of the Conference. In the event of the Participant's absence, the Organisers reserve the right to inform the relevant Authorities.
  6. The Conference Participant's presentation in the form of a paper should not exceed 12 minutes, including 2 minutes for asking questions.
  7. The Conference Participant may ask questions to the presentation presented by the speaker after the presentation. Due to the limited time, the leader of the session may not give the floor to those who asked questions.
  8. Detailed rules of presentations shall be presented by the Organisers no later than a day before the Conference begins.
  9. Within 14 days after the end of the Conference, the Organisers shall prepare a Book of Abstracts, which will include all abstracts presented at the Conference. The Book of Abstracts will be sent to the Conference Participants in PDF format to the e-mail addresses provided in the registration form.
  10. The organizers may award prizes for the best paper. Detailed information shall be provided later by the Organiser.
  11. Each active Participant of the Conference shall receive a certificate.
  12. The presentation given during the Conference should be in accordance with the law and generally accepted moral standards, including: it may not contain any content generally considered offensive, it may not violate the religious and political feelings of third parties, or infringe the rights of third parties. The Organiser reserves the right to remove a Participant who behaves contrary to the requirements set out in these Regulations.

 

§4 Copyright

  1. The participant declares that they have all the rights to the abstract sent as part of the Conference, including, in particular, full proprietary copyrights to the text sent.
  2. In the event of a breach by the Participant of the rights of third parties by making an appearance during the Conference and third parties submitting claims in this respect against the Organiser, all costs arising from the submission of such claims shall be borne by the Participant.
  3. The Participant, upon submitting the application to the Conference, grants the Organiser a transferable, but non-exclusive license for a period of 5 years to use the intellectual property rights contained in a given abstract and presentation (regardless of the Participant's receipt of the prize), in particular from works without territorial, temporary or quantitative restrictions, with the right to grant sub-licenses, in the fields of exploitation, including in particular:

a) recording and reproduction by any technique, in particular by printing;

b) placing on the market;

c) the use of all and individual elements for the purposes of creating any advertising materials (for example, press advertisements, leaflets, posters of any size, occasional materials) and using them as part of advertising materials, by recording and reproducing them using the techniques described in point a. above and placing on the market, disseminating, renting, lending, as well as making available to the public in such a way that everyone can have access to them in a place and time chosen by them;

d) disseminating and making available on the Internet by entering into computer memory, regardless of the number of broadcasts, editions, copies produced;

e) disseminating in any other way, in whole or in part, broadcasting by means of vision, wired and wireless audio by ground stations, via satellite, exhibition, display, public rendition, public performance, broadcasting simultaneously and integrally with another organization, radio or television entity, making the work available to the public in such a way that everyone can have access to it in a place and time chosen by them;

f) rent, lease, registration of a work as a trademark, utility or industrial model.

  1. The participant agrees that the photos and text sent by them as part of the abstract creation may be used in any way, processed, disseminated in whole or in part, in conjunction with other works, may be changed, developed, in particular for the purpose of promotion and advertising, including the form of posters, folders, including audio-visual advertisements. The participant agrees to use and manage the development of his work (consent to the exercise of dependent rights), with the right to further authorization to exercise dependent rights.
  2. The Organiser is entitled to use the work in an anonymous manner, i.e. without informing the Participant about it and without marking the work with the name and surname of the Participant.
  3. At the request of the Organiser, the Participant shall conclude a separate, written license agreement for the works contained in a given abstract or presentation.
  4. The organizer reserves the right to use the abstract or presentation also for promotional purposes of the Conference itself.
  5. The Participant declares that they are not a member of any collective copyright management organization and has not concluded an agreement with any such organization, under which this organization could acquire copyrights to works created by the Participant in connection with their participation in the Conference or get the permission to manage these rights in any other way.
  6. For the transfer of copyrights and other rights to the abstract or submission of the Application, no additional remuneration or any other claims against the Organizer or third parties who subsequently acquired these rights are entitled.

§5 Personal data protection

  1. The administrator of the Participants' personal data is the Jagiellonian University with its seat in Krakow, 24 Gołębia Street, 31-007 Kraków, represented by the Rector of the Jagiellonian University. (hereinafter referred to as: "Administrator").
  2. The Administrator processes personal data pursuant to art. 6 sec. 1 lit. a), b) in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46 /EC (general regulation on the protection of personal data).
  3. Personal data is processed for the purpose of conducting the Conference, issuing certificates and post-conference packages as well as for marketing purposes and for purposes arising from legitimate interests pursued by the Administrator, pursuant to art. 6 sec. 1 lit. a and b and lit. f) of the Regulation (EU) 2016/679 of the European Parliament and of the Council.
  4. Providing personal data is voluntary, but necessary for participation in the Conference.
  5. Personal data of the Participants will be kept until the end of the Conference and the issuance of certificates and post-conference packages or until the consent is withdrawn (in the scope of personal data processing for marketing purposes).
  6. Participants' personal data will not be disclosed to third parties, transferred to third countries or to international organizations.
  7. The data subject has the right to obtain information about the processing of personal data and the rights resulting from the general regulation on the protection of personal data, in particular: the right to request the Administrator to access personal data, rectify it, delete it or limit processing in accordance with the law, as well as to file a complaint to the President of the Personal Data Protection Office.
  8. Participants' data will not be processed in an automated manner and will not be profiled.
  9. The administrator has appointed the Data Protection Inspector. Contact details of the Personal Data Inspector: 24 Gołębia Street, 30-007 Kraków, room No. 5. Contact with the Inspector is possible via e-mail: iod@uj.edu.pl or by calling 12 663 12 25 - from Monday to Friday, from 8:00 am to 3:00 pm.

 

 

§6 Image

  1. The Participant expresses their informed and voluntary consent to the processing of personal image data by the Organiser for marketing and promotional purposes, in particular for the publication of the image, in the form of recordings from the Conference on the Facebook and Instagram platforms, in accordance with Article 6(1)(b) GDPR and the general regulation data protection of 27 April 2016 (Journal of Laws UE L 119 of 04/05/2016) and art. 8 of the Act of February 4, 1994 on copyright and related rights (Journal of Laws 2019.0.1231).
  2. Expressing consent is tantamount to the fact that photos, films or recordings made during the event may be placed on the Organiser's social media platforms or another website managed by the Organiser and used in promotional materials, as well as disseminated for this purpose by means of vision or sound.
  3. The Participant hereby waives all claims (existing and future), including remuneration against the Organiser for the use of their image/voice/statements for the purposes specified in these Regulations.

§7 Final regulations

  1. The Participant declares they have read and understood these Regulations and accept their provisions.
  2. These Regulations are available for the entire Duration of the Conference at the Conference event at:  https://www.facebook.com/horyzontynauki
  3. In matters relating to the Competition, the Participants may submit inquiries to the following address:  horyzonty-nauki@uj.edu.pl
  4. In matters not covered by these Regulations, the provisions of the Civil Code shall apply.
  5. The Organiser reserves the right to change the Regulations at any time.
  6. The binding interpretation of the provisions of these Regulations shall be made by the Organiser.
  7. The Regulations come into force on the day of their announcement.
